This page says what The Content Room collects through this website, why, and what you can ask us to do about it. It is written to be read.
What we collect
- What you type into the request form: your name, email, phone if you give it, business name, and your message. We use it to reply and to quote the job.
- Client records: if you hire us, we keep your contact details, the jobs we did, room bookings, invoices and whether they were paid, agreements you signed (with the name you typed, the time, and the internet address it came from), and messages on a job.
- Your photos and video: the work we make for you is stored so we can deliver it. Albums are private: only someone with your login or your album link can open one.
- Notes on videos: when you pin a note to a moment in a video, we keep the note, the second it points at, your name and the time, so the crew can answer it.
- Social and marketing numbers: if we manage or report on your accounts, we keep follower counts, post results, website and ad figures. These are about the accounts, not about the people who follow them.
- Your agreement to the terms: when you send the request form or pick a password for a login, you tick a box agreeing to the terms and this page. We keep which version you agreed to and when.
- A login cookie: one cookie keeps you signed in. It holds a random code, not your details. If one of the owners looks at the app as another seat, a second cookie holds their own session meanwhile. We use no advertising cookies and no analytics, and nothing from another company loads on this site, not even the typefaces, so there is no cookie banner: there is nothing to ask you to consent to.
What we do not do
- We do not sell or rent your information to anyone.
- We do not take card numbers. Card payments happen on Stripe's own page; we only learn that an invoice was paid.
- We do not show your work publicly unless you have said we may, in your agreement or to the desk, and we keep the date you said so. You can change your mind at any time.
- We do not send your photos, video, captions or messages to any outside service to be analyzed, described or written about, and we do not use what you give us to train any automated system. The caption recommended for a piece is typed by our crew.
Who else handles it
These companies hold or move data for us. Each one only receives what it needs to do its job. List dated 12 October 2026; a change here gets a new date.
- Railway: runs the app and holds the database and the uploaded photos and video (United States).
- Metricool: where approved posts are scheduled to your social accounts and where their numbers are read from: follower counts, reach, engagements, and per-post views, likes, comments, shares and saves. We copy those numbers into this app; Metricool holds the connection to your accounts.
- Stripe: takes card payments on its own pages when card checkout is switched on; we never see a card number.
- Google Workspace: sends the emails we send you.
- Pony Tracks Advertising and Sky Pony: our co-owners' own companies. When a job goes out under one of them, that company does the work and sees the client record for it.
If you are a business and need a written data processing agreement covering what we process for you, who our sub-processors are and deletion on request, ask at the desk at 818 SW 7th Ave, Amarillo TX and we will send one.
People in photos, and children
This site is for businesses, bands and the adults who run them. It is not directed at children under 13 and we do not knowingly collect information from them. When a shoot includes minors, a parent or guardian arranges it and approves how the images are used.
How long we keep things
Album links stay live for a set time after delivery, shown on the album. The photos and video themselves stay in our storage after the link closes, so a lost file can be sent again, until you ask us to remove them or we close your account. We keep job and invoice records for as long as tax and business rules require. Requests that never became a job are cleared out periodically.
Your choices
Ask us and we will tell you what we hold about you, correct it, or delete it, except records we are required to keep such as paid invoices. Write to the desk at 818 SW 7th Ave, Amarillo TX. We answer within 30 days.
If you have a login, your own page has a button that downloads everything we hold about you as one file. To have your records removed, write to us: the owner has one button that deletes your files, logins, albums, posts, numbers, reports and notes, and keeps only the paid invoices, with the amounts and no name on them.
Changes
If what we collect changes, this page changes first, with a new date at the top.
